BILINGUAL SECRETARY (ACCOUNTS)
About the Position
The Bilingual Secretary/Accounts position is responsible for the provision of a variety of finance and administrative related tasks for the Embassy. The successful applicant will be required to support the Accounts section of the Embassy in their work through preparation and maintenance of the Embassy’s accounts and financial records.
Key responsibilities include, but are not limited to:
- Support the accounts section of the Embassy in their work;
- Preparation of payment vouchers in accordance with laid down rules and regulations;
- Preparation of routine payments for processing by the Accountant;
- General administration duties such as stock taking and minor procurement;
- Assistance in the planning and organisation of Embassy events and initiatives;
- Process payment vouchers of local staff monthly salaries;
- Verify invoices and prepare payments vouchers for embassy suppliers;
- Maintain a contacts database of service providers and also serve as a liaison between the Embassy and the service providers;
- Perform other duties as required from time to time and directed by the Ambassador and Deputy Head of Mission as necessary.
Qualification and Experience
- Bachelor’s degree in Business Administration (Accounting option) from a recognized institution with at least 2 years of relevant accounting and/or office administrative experience, preferably with international organizations, private and/or public sectors;
- Excellent communication skills in both oral and written English and French with ability to draft a variety of correspondence and edit materials independently;
- In-depth knowledge of Microsoft Office applications and proficient in use of technology or/and systems relevant to functional area;
- Exercise good judgement in handling confidential and sensitive information.
- Willingness to take up additional ad-hoc responsibilities other than duties directly related to this position whenever needed and flexibility to work overtime during peak periods;
- Good interpersonal skills and sound judgement to effectively deal with staff at all levels;
- Demonstrate good organizational skills and ability to work independently with minimal supervision;
- Ability to work effectively to meet strict deadlines while paying attention to details;
- Ability to think through problems and make appropriate recommendations for management decision.
Terms and Conditions of Employment
- The successful applicant will work alongside other local employees of the Embassy, and will report directly to the Accountant;
- The Head of Chancery and Chief Treasury Officer will have general supervision over his/her work;
- This is a full-time, contract position with possibility of renewal based on satisfactory performance and conduct;
- Monday to Friday, 40 hours per week, with standard office hours from 9.00am to 5.00pm;
- The salary for the position will be negotiated and paid locally on a monthly basis;
- Salaries are paid directly into to a bank account, therefore the successful candidate must have a bank account;
- Annual Leave entitlement of 20 days per annum, including public holidays.
